Privacy statement

Valid from 15 October 2026, version BE-2. This statement explains which personal data BusOffer.com processes, why, and what rights you have.

This is a translation. If the English and Dutch versions differ, the Dutch version applies.

1. Who is responsible for your data

BusOffer.com is a trade name of Racks B.V., a Dutch company (KVK 74865684), Oosterlaan 24, 2101 ZR Heemstede, the Netherlands. That company is the controller of the personal data collected through this platform, including on the Belgian pages. For questions: hallo@busoffer.com.

2. What data we collect

  • Your trip: departure point, destination, any intermediate stops, date and times, group size, chosen type of coach and, if you fill it in, a day programme.
  • Your contact details: name and email address (always needed to complete a price comparison or request) and your mobile or phone number. Your number is not needed if you only ask for prices, and it is needed if you request a booking, because the coach company will call you about it.
  • Messages: what you send with a booking request, your messages to a coach company and your questions to our team.
  • Technical data: your IP address, very briefly, to prevent misuse of our forms (see article 5), what is stored in your own browser (see the overview of cookies), and, only with your consent, what Google Analytics measures (also there).
  • What you tell us after your trip: whether the trip went ahead, and with which company.
  • A review, if you write one: your stars, your text and your name as you choose to have it shown.
  • Where your request started: on which page of our site you filled in the search form, and which website you came from. Of that website we only keep the name, such as google.be, or the name of a campaign. No cookie is needed for that.

3. What we use it for, and on what basis

  • To show you a personal price comparison (basis: the performance of the contract with you as a user of the platform).
  • To pass your request or interest on to the carrier you choose (basis: the performance of the contract).
  • To secure and improve the platform (basis: our legitimate interest).
  • For analytical cookies, only with your consent (basis: consent).

4. Who we share data with

If you show interest in an offer or request a booking, we share the details you gave (name, email address, possibly your number and your message) with that carrier, so it can contact you directly. We never sell your data and do not share it more widely than needed to handle your request.

If you ask for a coach company's phone number on your price overview, we let that company know that you are likely to call. It then receives your route, the date, the number of people and the number of your request, but not your name or your email address.

If you request a booking or ask a question of a coach company that has not yet joined BusOffer.com, we send that company an email inviting it to join. It contains your name, your departure and destination addresses as you entered them, the date and the number of people. Your email address and your number are not included.

If a coach company that has joined is already driving a trip on the day of your trip that ends near your starting point, that company can see your request in order to make you an offer, even if you did not approach it yourself. It then sees your departure and destination addresses as you entered them, the date, the departure time and the number of people. It only sees your name, email address and number if you accept that offer.

If you write a review, it appears publicly on the coach company's page, with your name as you choose to have it shown. By default that is only your first name.

We also use services from other companies:

  • Vercel (Vercel Inc., United States) hosts the site. The part that works with your data runs in their data centre in Frankfurt. As with any website, Vercel sees your IP address and keeps a log of the requests to the site.
  • Neon stores our database, in a data centre in Frankfurt.
  • Mailgun sends our emails, via servers in the European Union.
  • ImprovMX receives mail sent to a busoffer.com address and forwards it to our mailbox at Google (Gmail).
  • PDOK, the Dutch government's address register, does the same for a Dutch address.
  • openrouteservice (HeiGIT, Heidelberg) calculates how many kilometres your trip is by road. Only coordinates go there, rounded to about a hundred metres.
  • Google Maps (Google Ireland Limited) draws your route on a map. The Belgian pages do not have such a map. Where there is one, the points of your route go to Google as coordinates, and Google sees your IP address, your browser and which page the map is on; Google may set its own cookies in doing so. What Google does with this: policies.google.com/privacy.
  • Google Analytics (Google Ireland Limited), only if you give your consent for it in the cookie notice (see the overview of cookies).
  • Sentry (Functional Software, Inc.), with storage in the European Union, receives a report if something goes wrong on the site: which type of page, which browser and where in our code. No name, email address, IP address, cookies or search text.
  • Anthropic (Claude): a member of staff can have the text of a question to our team put to Anthropic for a draft reply; we first remove your name, email address and number, and a person always reads the reply before you receive it.

5. How long we keep data

We do not keep your data longer than needed for the purpose for which it was collected. The site does the clearing up itself, automatically.

Clearing up means: your name, email address and number are removed; what you wrote yourself (comments, day programme, messages to coach companies) is erased; of your addresses only the municipality remains; and the emails about your request and any quote a coach company sent you are deleted. What remains after that (the municipalities, the date, the group size and the amount) no longer says who you are; we keep that for the accounts and the statistics.

  • A request without a booking: six months after your trip has passed, and never earlier than six months after your request.
  • A request with a booking: two years after the day of your trip. As long as your trip is still to come, we clear nothing up.
  • Messages between you and a coach company: two years after the last message, or earlier if your request is cleared up.
  • A question to our team: one year after it was closed, or two years after the last change if it was never closed.
  • Copies of the emails the site sends: one year, or earlier if the request is cleared up. Invoices, credit notes and payment reminders to coach companies fall under the statutory retention period of seven years; your name does not appear on them.
  • Addresses we have looked up: we remember which place belongs to the text typed in, without a name, email address or request attached. We do not clear this memory up automatically.
  • The brake on our forms: we count how often something is sent from the same IP address (and for some forms with the same email address). Such a count runs for one hour at most.
  • Backups: one every day that is kept for two weeks, and one every month that is kept for three months.
  • Our own mailbox: mail you send us and notifications from the site stay there; the site does not clear these up automatically.
  • Your review stays up with the name you chose to have shown. If you want it removed, email us at hallo@busoffer.com.

6. Cookies and what is stored in your browser

See the overview of cookies; that is the complete overview.

7. Security

We take appropriate technical and organisational measures to protect your data against loss or unlawful use.

Your price overview has its own web address, with the number of your request in it. With only that number you see the trip and the prices, but not your name, email address or number, and you cannot change anything. For that you need the secret key contained in the link in our emails; a coach company never receives it. If you open that link, your browser remembers the key for that one price overview (see the overview of cookies). So only forward the link from your email to people you trust. We block anyone who tries to guess numbers.

8. Your rights, and where you can go

You have the right to access, rectify and erase your personal data, the right to object to its processing, and the right to data portability. Email hallo@busoffer.com for this; we reply within one month.

If you are not satisfied with how we handle your data, you can lodge a complaint with the Data Protection Authority in Belgium (Gegevensbeschermingsautoriteit, gegevensbeschermingsautoriteit.be). Because we are established in the Netherlands, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) is our own supervisory authority; you may also complain there.

9. Changes

We may change this statement. The version in force is always on this page, with the date and version number; we keep older versions.
