What determines the price of a coach

Two groups of fifty, the same coach, the same day, and still a difference of hundreds of euros. That is almost never down to distance alone. Below you'll find what a coach price really consists of, and the four points where you still have some influence yourself.

You hire time, not kilometres

This is the biggest misunderstanding, and it explains most of the differences people don't understand. A coach with driver is booked by the part of the day, not by the kilometre. A day trip to a nearby theme park may be an hour and a half's drive, but the coach and driver are there all day: those hours are in the price, including the hours when nothing happens.

A journey of the same length in hours but over three times as many kilometres therefore costs less than you'd think, and a short journey that takes all day costs more.

The eight items in a coach price

Every coach company works with the same kinds of cost. The rates differ from company to company, the items don't:

Fixed costs per journey: planning, administration and getting the coach ready.
The hours of the coach and driver, with a minimum: a half-hour journey never costs just half an hour.
The hours the coach is waiting. These are cheaper than driving, and after a few hours the driver drops to an even lower standby rate.
Kilometres above what is included in the hourly price. Each hour of hire comes with a number of free kilometres; above that, a per-kilometre rate applies.
The positioning journey: the coach has to come from the company's depot to your starting point, and back again afterwards.
Tolls, vignettes and a ferry, if the route passes them.
The driver's overnight stay on a trip of several days, and parking the coach on site.
A second driver, as soon as there are too many driving hours in one day for one person.

Why it matters where the coach company is based

The positioning journey is part of the price of every trip, and it's the item people forget most often. A company five kilometres from your starting point starts lower than one a hundred kilometres away, even if their hourly rates are exactly the same. That's why our municipality pages show the coach companies based within thirty kilometres, the nearest first. It's no guarantee they are the cheapest, but they start with a head start.

Letting the coach wait is almost always cheaper than two journeys

On a day trip you have a choice: the coach stays with your group and the driver waits, or the coach drives back and returns at the end of the day. The second feels more economical, and almost never is. Waiting costs a fraction of driving per hour and drops to the standby rate after a few hours. Two separate journeys mean twice the fixed costs, twice the positioning and twice the tolls.

The date moves the price more than the route

The same journey can carry a weekend, night or public holiday surcharge, plus a seasonal variation across the whole year. Those surcharges apply to the whole subtotal and not to a single item, so they add up quickly. An organiser who can still move the date holds the biggest lever there is, bigger than the choice between two companies.

That's why your price overview has a calendar showing what this journey costs on each day of the month, worked out with the same rates.

Going just over a capacity limit costs you a size

Coaches come in steps, not in any size you like. If you're fifty-six people, you won't fit in any coach with fifty-five seats. And then it isn't one seat more expensive but a size bigger, or two vehicles instead of one. Two people fewer then means a very different amount. This is the one item an organiser can often still really decide on, and almost nobody knows it exists.

Four things you can bring down yourself

Not every lever is in the coach company's hands. These are the four you control yourself:

Move the date if you can. Check the price calendar on your overview to see which day that month is the most favourable.
Stay below a capacity limit. If it's a matter of two people, that conversation is worth having.
Let the driver wait rather than having the coach make two journeys, unless it would really be standing idle all day.
Enter your starting point as precisely as you can: street and house number, or a postcode. With only the name of a village we don't know, we calculate with an indicative distance, and then the price is an estimate rather than a calculation.

What you see on screen, and what the coach company still does with it

Our amount is an estimate based on the rates the company entered itself, including VAT and our service. The final amount comes from the coach company, and it may include things we can't know: a detour via a stop on the way, a luggage trailer, a parking space you have to pay for. Whatever we don't include, we say so on the overview. An estimate that is too good to be true costs more trust than one that is right.

Frequently asked questions

Why is a short journey sometimes more expensive than a long one?

Because you book the coach and driver by the hour and not by the kilometre. A twenty-kilometre journey that takes all day needs a full day's hire; a two-hundred-kilometre journey that's finished by the morning doesn't.

Is VAT already included in the amount I see?

Yes. What you see on your price overview is the amount you will eventually pay, including VAT and including our service. The price breakdown below it lists each item separately, and that list adds up to exactly that amount.

Can I negotiate on the price?

That's a conversation with the coach company, not with us. What we do is put the companies that can actually do your trip side by side, with their own rates. A company that wants to be cheaper lowers its own rate.

Why do two companies differ by hundreds of euros on the same journey?

Usually because of two items: their hourly rate and the positioning journey from their depot. A nearby company with an average rate often ends up below a cheaper company that has to come a hundred kilometres.
